JOB SUMMARY

  • Main function: Responsible for managing general administrative tasks in the office, including office equipment, administrative expenses, administrative documents, and internal events.
  • Work location: Hanoi Head Office, 3rd Floor, East Office, AEON MALL Long Bien, No. 27 Co Linh Road, Long Bien Ward, Long Bien District, Hanoi
  • Working time: Monday – Friday, 8:30 AM – 5:30 PM
  • Report to: Executive

WHAT YOU DO

  • Oversee and maintain office equipment (machines, furniture, name cards, etc.); Coordinate with suppliers for maintenance and issue resolution; Manage office supplies, company vehicles, incoming/outgoing mail, phone reception, and guest hospitality (25%);
  • Manage general expense: check bills, invoices, debit notes, and prepare payments twice a month; Monitor and control administrative budget expenses; Organize annual internal events, including health check-ups, team-building activities, and other company events (25%);
  • Maintain and manage all administrative documents, including supplier service contracts, RFA, RFC, POA, and company stamp to ensure proper filing and compliance with internal policies (20%);
  • Book hotels and air tickets for employees and guests as needed (20%);
  • Other tasks as assigned by Supervisor and Manager (10%).

WHAT WE REQUIRE

  • Bachelor’s degree, any fields;
  • Having 1 – 2 years of working experience in office management is an advantage;
  • Good communication in English and Vietnamese;
  • Have Negotiation Skills and Problem solving skills;
  • Good at Microsoft Office (Especially Excel).
