JOB SUMMARY
  • Main function: Assist in the administration work for the shopping mall and closely connect with all related teams/ departments to ensure that the job is completed within standards.
  • Work location: AEON MALL Binh Duong Canary.
  • Working time: On average 5 days/week and in shift (A shift 8:30 AM – 5:30 PM & C shift 1:30 PM – 10:30 PM, about 5-7 C shifts per month), 1-2 OFF days/week not fixed on weekends, some shifts on public holidays.
  • Report to: Executive

WHAT YOU DO

  • Ensure smooth and timely operation of daily business and good environment condition for the office. Manage office equipment like stationaries, printers, postage system, stationary, and office tools (internet, telephone, drinking water, cleaning in office, meeting room, …). Do paper works like a request for approval, payment, monthly duty roster, and service contract. Celebrate interesting activities for office staff to create a good working environment for all staff and good relationships between all staff (25%);
  • Manage and handle tenant violations to ensure all tenants strictly follow the regulations and procedures of the shopping mall and report to the supervisor if there is any violation. Ensure tenants submit all required legal documents before opening (20%);
  • Support tenants with administrative tasks to ensure their smooth running (Check loading goods forms,..). Coordinate with relevant parties to organize tenant meetings, cleaning days, store manager meetings, and celebrate training if any,… (10%);
  • Be responsible for data of all tenant staff, customer quantity, and medical room. Be responsible for customer supports like checking lost & found report, amount of trolley, baby cart, character cart, manner and attitude of customer support. Celebrate activities for tenants on special cases (environmental protection, Role Play Contest, …). Make report monthly (10%);
  • Prepare all necessary items for the training (booking room, documents, equipment, attendant list…) and ensure that all tenant staff are trained as per Company regulations. Summary feedback from participants, evaluate training programs, and send reports to supervisor correctly, timely (10%);
  • Daily patrol the shopping mall to check tenant staffs working manner and make reports for the supervisor. Maintain good relationships with tenants to understand their training needs, and solve complaints, and comments from tenants. Training tenant staff to help tenants understand mall regulations clearly and obey them well (10%);
  • Handle paperwork and other necessary document as company procedure to book flights and hotels for business trip of office staffs, managers and GM if any. Handle necessary document as company procedure such as: chop on document, store data, submit document online to government,… (10%);
  • Other duties as assigned (5%).

WHAT WE REQUIRE

  • Bachelor’s degree, in any field;
  • Fresh candidates can be trained. Candidates who have 1 – 2 years of experience in the relevant field are preferred;
  • Good communication in English and Vietnamese;
  • Have a good teamwork and customer focus mindset;
  • Be careful and good at Microsoft Office (Word, Excel, PowerPoint);
  • Willing to work in shift.
